Job Description

We are seeking an experienced and detail-oriented Legal Administrator to oversee the firm’s daily operations and administrative functions. This role is critical to ensuring the firm runs efficiently while maintaining strict financial controls and compliance standards—particularly within our high-volume real estate practice.

The ideal candidate brings strong operational leadership, proven financial reconciliation experience, and the ability to manage multiple priorities in a fast-paced legal environment.

Key Responsibilities

Firm Administration & Operations

  • Oversee daily administrative operations to ensure efficiency, accuracy, and compliance
  • Manage office systems and processes supporting attorneys and staff
  • Act as the primary point of contact for administrative and operational matters

Financial Management & Reconciliation (Heavy Emphasis)

  • Perform and oversee reconciliation of operating and real estate escrow accounts
  • Monitor transaction activity including deposits, disbursements, and ledger balances
  • Coordinate with external accountants on audits, reporting, and reconciliations
  • Maintain thorough financial records and audit-ready documentation

Human Resources & Personnel Management

  • Supervise administrative staff, including hiring, onboarding, training, and performance management
  • Coordinate payroll, benefits, and leave administration with third-party providers

Billing & Business Operations

  • Oversee timekeeping and billing systems
  • Support accounts receivable, collections, and billing accuracy
  • Review and approve vendor invoices and firm expenses
  • Assist leadership with budgeting, forecasting, and operational planning

Facilities & Vendor Management

  • Manage office facilities, supplies, and equipment across locations
  • Maintain vendor relationships (IT, banking, accounting, software, building management)

Compliance & Risk Management

  • Maintain firm licenses, insurance, and regulatory filings

Qualifications

Education & Experience

  • Bachelor’s degree preferred (Business, Accounting, Finance, or related field)
  • 3–5+ years of administrative or operations management experience
  • Strong accounting and reconciliation experience required
  • Law firm experience preferred, especially in real estate or transactional practice

Skills & Abilities

  • Advanced financial reconciliation skills with high attention to detail
  • Strong organizational and time-management abilities
  • Ability to handle sensitive financial information with discretion
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and legal/accounting systems
  • Experience with SoftPro or similar trust accounting software preferred
