Administrative Assistant

Position Overview

The Administrative Assistant is an hourly, full-time, in-office position scheduled five days per week. This role provides administrative and clerical support to ensure the smooth daily operation of the office. The Administrative Assistant supports staff and leadership with day-to-day tasks and helps maintain an organized, professional, and welcoming workplace environment.

Key Responsibilities

Administrative Support

  • Open and close the office daily.
  • Provide general administrative and clerical support to managers and staff.
  • Assist with invoice processing, expense reports, and basic data entry.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Coordinate meeting logistics, including scheduling, catering, and supply preparation.
  • Order and maintain inventory of office, kitchen, and general supplies.
  • Support coordination and logistics for quarterly company meetings and events.
  • Provide front-office support, including greeting and assisting visitors.
  • Submit and track maintenance and service requests.

Office Organization & Workplace Support

  • Restock kitchen and common-area supplies as needed.
  • Conduct weekly refrigerator cleanouts.
  • Perform daily light cleaning and organization of office common areas to maintain a professional workplace environment.

Skills & Qualifications

  • Strong organizational and time-management skills with exceptional attention to detail.
  • Ability to manage multiple priorities and adapt to changing needs.
  • Professional, service-oriented demeanor with strong interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); familiarity with visitor management systems and work order platforms is a plus.
  • Ability to work both independently and collaboratively in a fast-paced office environment.

Education & Experience

  • High school diploma or equivalent required, college degree a plus.
  • Prior administrative or office support experience preferred.

Physical Requirements

· Ability to maintain regular and predictable attendance.

· Ability to be present onsite at the office 5 days a week

· Ability to sit, stand, walk, and climb stairs

· Ability to use a computer and related equipment, often for multiple hours each day.

· Ability to lift and/or move up to 25 pounds.

The expected hourly rate for this position is $33 - $36 . Actual compensation will be determined based on experience, skills, qualifications, and other job-related factors. This position may also be eligible for bonus and a comprehensive benefits package.
